One of the biggest misconceptions I saw in property management was that renters thought apartments stayed available until someone was officially approved.

That’s not how many communities operate.

During moving season, which is busy AF, multiple qualified applicants are interested in the same unit, and the application process moves quickly. If you wait several days before applying, someone else has already completed the process or reserved the unit, depending on the property’s policies.

The result?

Many renters assume they were “denied” when, in reality, they simply missed their opportunity.

Why Summer Is Different

Many people choose to move during summer, hence why we in the business refer to it as moving season, because the weather is good and it’s easier to get time off to look for a new place. Unfortunately, you and everyone else had the same idea.

College students are back in town looking for a new place to crash after a summer home with the folks. Families with kids are moving to explore school districts that better meet their needs. And everyone who shacked up during winter is looking for their new abode because their lease is ending.

All this adds to the seemingly endless competition for safe and high quality rentals. Leasing offices that are usually empty during the year are suddenly popping off with a full schedule of tours and the urgency (stress) that being in demand brings with it.

The Three Timing Mistakes I Saw Most Often

Waiting to Apply

Oftentimes, the apartment you see online already has a someone eyeing it and thinking of applying for it just like you are. The problem is that time is of the essence when there’s only 1 of your dream apartment. Waiting for the right time rarely works out when it comes to where you need to lay your head at night.

Waiting to Gather Documents

In my experience, this is where a lot of renters get tripped up. Very few people have a digital folder where they keep important documents, like their ID, paystubs, bank statements, etc. for quick reference. Most of the time they’re waiting for the “best” paystub to come so that they have the highest possible income-to-rent ratio. None of that really matters when you have to move soon. Plus, having everything at the ready makes the rental application process go so much faster.

Choosing a Move-In Date Too Far Away

When a resident moves out of an apartment and leaves it in great condition, a typical turnover, prepping the apartment for the next resident, can take as little as a week. One of the most costly aspects of property management is vacancy. A property can lose thousands if a rental sits vacant for too long.

If you come along and want to rent months in advance, you aren’t going to lease what’s vacant now, even if you put down a holding fee. The property is going to prioritize getting that vacant rental leased and hold your application until another rental comes along closer to your desired move-in date.

What This Means for You

If you’ve found an apartment that fits your budget, location, and needs, don’t assume it will still be available next week.

Have your documents ready before you tour. Know your budget. Be prepared to apply if you find the right place.
